Steps to Having an Effective Meeting

71% of Americans believe meetings are not productive. Some studies show that there is a higher correlation between effective meetings and business performance, than any other indicator. Much more can and should be said on meetings than what is covered here, but here is a “top-ten” list of important considerations.
- Decide if the meeting is really necessary. Ask:
- Why is the meeting necessary?
- What is its purpose?
- What benefits are expected?
- How might you achieve these without this meeting?
- Decide about When to hold the meeting.
- The timing of the meeting should make the best use of people’s time and not distract them from more important tasks. Events can be a useful trigger for meetings, ensuring time is invested in resolving problems - this can help answer the When, and also the why.
- Who should be there?
- The meeting should only be attended by people who are truly needed
- Make sure all meeting participants understand the guidelines of good listening skills.
- Enable people to come prepared
- Use an agenda
- Make sure this agenda gets sent out far enough ahead of time for people to be able to prepare.
- Prepare for how you want to run the meeting, not just what you want to cover.
- Stick to schedule and topics
- Review agenda and objectives at the beginning of the meeting
- Recap at the end of the meeting, cover next action steps, add a 'to do list' section to the minutes.
- Send out meeting minutes in a reasonable timeframe
- Maintain accountability
- Make sure people know what they are responsible for, and follow-up.
